Personal Assistant (Kshs 25,000)
Our client is an up and coming organization that is seeking a Personal Assistant to the Manager.
The key purpose of this job role is to support the Director, and office staff to complete tasks.
Key Responsibilities
• Devising and maintaining office systems, including data management and filing
• Screening phone calls, enquiries and handling or forwarding them
• Support and supervising the office team
• Ensuring all tasks assigned are completed well in a timely manner
• Meeting and greeting visitors at all levels of seniority
• Organizing and maintaining diaries and making appointments
• Dealing with incoming email, and correspondence on behalf of the manager as advised
• Arranging travel, visas and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance in the operations of the organization
• Taking dictation and minutes for meeting
• Carrying out administrative duties for the office including payments, helping arrange for meetings and tracking ongoing work/projects
• Producing documents, briefing papers, reports and presentations
• Organizing and attending meetings and ensuring the manager is well prepared for meetings
• Any other duties and responsibilities assigned for smooth operations of the organization
Required Qualifications
• Degree in Business Administration, Office Administration.
• 2 years working experience in a similar role.
• Good organization skills
• Must be able to carry out tasks in a timely professional manner
• Good communication skills both oral and written
• Must be goal oriented
